Your information matters
A plain-language guide to how BBB handles personal information
In short
BBB collects only the information needed to respond to you, provide an agreed service or understand community priorities. You do not need to provide a diagnosis. Please share only what feels relevant.
What BBB may collect
Depending on how you contact or work with BBB, we may collect:
· Your name or preferred name and contact details.
· Your organisation, role or connection to an enquiry or activity.
· Information you choose to provide through contact, community or partnership forms.
· Communication and accessibility preferences you choose to share.
· Information needed to plan and provide services, workshops, projects or partnerships.
· Feedback, ideas or lived-experience contributions you voluntarily share.
· Basic technical information created by the website or connected services, where those features are enabled.
What BBB asks you not to send
Please do not send medical records, diagnostic reports or detailed clinical information through general website forms. Please also avoid sharing another person’s private information unless you have permission and it is genuinely necessary.
Why BBB uses information
· To read and respond to enquiries.
· To understand what support, service or next step may be useful.
· To plan and deliver agreed services, learning, projects or partnerships.
· To make communication and participation more accessible.
· To understand community ideas, priorities and gaps.
· To manage consent, feedback, privacy requests and business records.
· To meet legal, contractual, security or insurance responsibilities where they apply.
Your choices
Where practical, you may use a preferred name, leave optional questions blank or share a community idea without providing contact details. You do not need to disclose a diagnosis to ask for a communication or participation preference.
Permission to respond to one enquiry is not automatically permission to send ongoing updates. Optional contact or newsletter choices should be separate and can be withdrawn.
Who may see your information
BBB does not sell personal information. Information may be available to:
· Authorised BBB personnel or contractors who need it for the stated purpose.
· Approved client or partner personnel involved in an agreed project, where this has been explained.
· Providers that support the website, forms, email, meetings, documents, payments or business administration.
· Professional advisers, insurers or authorities where reasonably necessary or required by law.
· Another person or organisation where you have given specific permission.
Stories, quotations and attribution
Taking part does not automatically give BBB permission to publish your name, story or words. Recording, quotation and attribution choices should be requested separately.
Storage and security
BBB aims to use reasonable safeguards, restricted access and approved systems to protect information. Information will be kept only for as long as it is needed for the stated purpose and relevant legal, contractual, insurance or recordkeeping requirements, then securely deleted or de-identified where appropriate.
Access, correction or withdrawal
You may contact BBB to ask what personal information is held about you, request access, ask for inaccurate information to be corrected, withdraw an optional contact permission or ask whether information can be withdrawn from an activity.
Some practical or legal limits may apply. BBB will explain any limit that affects your request.
